Privacy Notice · Effective 26 August 2026
How SyncMachina handles your personal data.
1. Data controller
The controller for personal data covered by this notice is Wojciech Kwiatek, Sienkiewicza 28b/15, 50-335 Wrocław. Contact: hello@syncmachina.com.
2. Data we collect
When you submit the Tally form or contact us directly, we may collect your work email, company or product name, the integration or provider you need, the systems and objects you want to synchronize, your acknowledgement, and any other information you choose to provide.
The website also receives ordinary technical request data needed to deliver pages securely. Cloudflare Web Analytics produces aggregated website-usage measurements without using cookies for this site.
3. Purposes and legal bases
- Responding to your enquiry and assessing integration fit: our legitimate interests in communicating with potential customers and developing SyncMachina (GDPR Article 6(1)(f)).
- Taking steps toward a pilot agreement at your request: GDPR Article 6(1)(b), where applicable.
- Keeping essential business and compliance records: legal obligations or our legitimate interests in protecting and documenting our business (Articles 6(1)(c) or 6(1)(f), as applicable).
- Website security and aggregate performance measurement: our legitimate interests in operating a secure and useful website (Article 6(1)(f)).
The required Tally acknowledgement confirms that you understand SyncMachina may contact you about your request; it is not used as consent to unrelated marketing.
4. Service providers
We use third-party services for forms, business records, website analytics and hosting. These currently include Tally, Google Workspace, Cloudflare and OVH.
They process data as needed to provide their services under applicable contractual and data-protection arrangements. Where data is processed outside the European Economic Area, appropriate transfer safeguards are used. We do not sell personal data.
5. Retention
Inactive or unsuccessful lead information is retained for up to 12 months after the last meaningful contact, then deleted or anonymized unless a longer period is required by law, needed to establish or defend claims, or agreed in a customer relationship. Active customer and contractual records follow the retention terms applicable to that relationship.
6. Your rights
Depending on the circumstances, you may have the right to access, correct or delete your data; restrict or object to processing; receive portable data; and withdraw consent where consent is the legal basis. You may object at any time to processing based on legitimate interests, including direct marketing.
To exercise a right, email hello@syncmachina.com. We may need to verify your identity before completing a request.
7. Complaints
You may lodge a complaint with the data-protection supervisory authority in your place of residence, work or the alleged infringement. You may also contact the President of the Personal Data Protection Office (UODO). See the UODO complaint information. We would also appreciate the opportunity to address your concern directly first.
8. Analytics and cookies
SyncMachina uses Cloudflare Web Analytics for aggregate traffic measurement. The site does not intentionally set advertising cookies or include advertising trackers. Third-party pages you open, including Tally, operate under their own privacy and storage practices.
9. Changes to this notice
We may update this notice as the product, providers or legal obligations change. The effective date at the top identifies the current version. Material changes will be reflected on this page before they apply where reasonably possible.
